Job Description

Our client is a commercial floor installer and they have an immediate need for a Sales Assistant.

Pre‐bid process
•Complete Pre‐qualification forms

Bid process
•Once estimate is complete by respective sales person, prepare & send all bid proposals
•Prepare formal (physical) bid proposals

Post Bid
•Record all proposals sent
•Follow up weekly on bids sent •bid tracking
•Track successful (GC) bidders as required

Post Contract Award
•Perform �Booking Process•for all MD projects
•This includes recording info to both internal SERVER files as well as corporate SAGE (timberline)
oAssign job numbers
oTake ownership of ALL details of job set‐up
•MBE, Wage scale, special instructions, security paperwork, etc.
oSet up Job File on OneDrive
oCreate PIF (proj. info form) and SoV (schedule of values)
oComplete project information form:
•Estimate, contact info, billing & site address, etc.
•Prepare & submit all submittals for sales team
oProduct data, colors, MSDS, general info, AHA, JHA, etc.
oTrack returned submittals ‐ record colors, texture, architectural notes, etc.
•Enter project information into Sage software
•Communicate with Controller on Bonds, CCIP, OCIP, special billing instructions, etc
•Manage physical MSD Sheets for Operations use on each project
•Send/mail color cards, samples, physical media, as required

General Responsibilities
•Prequalification Forms. Responsible for all project specific info, with the exception of financial
•Daily mail
•Sending & receiving Fedex/UPS
•Marketing support & participation
•Answer incoming calls
•Maintain and reconcile petty cash
•Coordinate meal money and hotel reservations as requested
•Provide backup assistance, as requested, for other office staff

  Job Requirements  


•3+ years in a sales support or administrative support position
•Proficient with Microsoft •must be experienced with Excel
•Solid customer service experience
•Experienced answering phones
•College degree preferred but not required
•Able to work independently
•Solid communication skills
•Able to meet deadlines.
