Sales / Approvals Coordinator

Duties and Responsibilities:

The following are the responsibilities and duties of the Sales / Approvals Coordinator. These have been listed, not necessarily in order of priority but for your convenience. You can use this to familiarize yourself with basic functions and expectations. Should you have any questions, please contact your supervisor. They are as follows:

  Job Requirements  

Waste Approvals and Pricing

1.Primary contact for all approvals and pricing negotiations
2.Obtain pricing in writing from facilities
3.Keep Company Disposal Pricing Spreadsheet up to date
4.Complete and track all waste approvals and renewals
5.Send out all samples to laboratories and/or disposal facilities
6.Review all hazardous and non-hazardous approval applications and profiles prior to being forwarded
7.Deal directly with Customers in regard to waste profiles and approvals and Communicate updates with Sales Representative
8.Communicate all pricing to appropriate Estimator
9.Communicate all disposal price increases to Sales Manager to facilitate Customer price increase
10.Work directly with the disposal facilities on problems/questions/discrepancies

Disposal Facility Approval

1.Complete company audits for all disposal facilities utilized and update information not less than annually
2.Visit disposal facilities (when required) to determine types of material they accept and if they meet companys standards
3.Make recommendations on all disposal facilities utilized
4.Make recommendations after completing the facility audit
5.Do a follow-up audit immediately when major safety violations are found.
i.A reasonable time frame should be given to the person in charge to correct any major safety violations.
ii.Do a six (6) month follow-up audit to ensure all new procedures are being adhered to when applicable

1.Complete Transportation and Transportation/Disposal Workbook Calculation Sheets and review quotations
2.Contact all disposal facilities for pricing and specifications
3.Enter disposal pricing, specifications and surcharge costs in workbooks.
4.Enter subcontracted transporter costs, specifications (i.e. fuel surcharge, load/unload, etc.) and surcharges in workbooks.


1.Schedule all loads into disposal facilities
2.Schedule Subcontracted Transportation
3.Complete all hazardous waste manifests, bill of ladings, labels, and land bans
4.Handle all load rejections, discrepancies and surcharges
5.Deal directly with Customers in regard to disposal surcharges and forward notification to Customer. Communicate updates directly with Sales Representative
6.Sign off on all change orders from disposal facilities


1.Assist in completing site visits
2.Schedule drum pick up with operations
3.Schedule drum pickups into facility
4.Set up pickup schedule
5.Assist in completing hazardous waste manifests, bill of ladings, labels and land bans.


1.Assist in completing work books
2.Assist in pricing, times and tolls.
3.Type, fax copy and mail quotations to / for sales rep.
4.Keep customer files current
5.Maintain accurate quote log.

Office Personnel

1.Assist in the coverage of the phone system.
